GUIDELINES & PROCEDURES – FIRST FRIDAY ART WALK

The ‘First Friday Art Walk’ (FFAW) Committee is responsible for managing the FFAW program at Redmond, OR venues.

1.    Calendar of FFAW Events

    a.     First Friday will proceed each month of the year. Exceptions may be when FFAW falls on a holiday.

2.    Artist Expectations

    a.    It is recommended the Registration Form be completed on a lap or desktop versus a phone. The artists submitted information must be suitable for publishing. Check for sentence structure and spelling.

    b.    Artists will cordially accept their venue assignment.

    c.     Each artist will provide their own table or grids for their display, unless informed of options by the FFAW Chair or venue.

    d.    Artists will be set up before the Event start time and will not breakdown until the event is finished or the venue closes early.

    e.    Completion of the Registration Form commits the artist’s participation in the upcoming  FAW event.

            1.     If an emergency arises and the artist is unable to participate, the FFAW Chair MUST be notified as soon as possible.

            2.    If an artist NO SHOWS, the artist may not participate in future FFAW events.

2.    Registration Process

    a.     Each month all DCAA members received an email requesting artists to sign up for the next month FFAW.  The email includes a link to the FFAW Registration Form.

    b.    The FFAW Chair confirms, by email, that the Registration Form has been received.

    c.    A Welcome email is sent to new participants explain the process and encouraging questions.

   d.    The FFAW Chair assigns venue locations. Location assignments will be rotated monthly to create diversity for the artists, community, and venue.

    e.    The FFAW Chair emails venue contact and set-up information to each artist regarding their assigned location.

    f.    The FFAW Chair emails each venue the artist name, 1-2 sentence statement, and image of their art.

3.    Cost
   a.    There is no cost and no commission.  FFAW is a DCAA membership benefit.

4.    Artist Preparation Prior to the FFAW Event

    a.    Each venue has varying space allocated to DCAA artists.  Each artist  must be willing to modify their display to fit the location.

    b.    Each artist is strongly encouraged to visit the venue prior to FFAW to determine table size, number of grids, and which products are appropriate for the location.

    c.    Artists are encouraged to promote FFAW through their social media.

5.     Hours

    a.    Summer: Set up is from 4:00 PM to 5:00 PM, Event is 5:00 PM to 8:00 PM
Winter: Set up is from 3:00 PM to 4:00 PM, Event is 4:00 PM to 7:00 PM
    b.    Artists may stay longer if the venue remains open and business if flourishing.

6.    The FFAW Event

    a.    There may be more than one DCAA artist at a location and the venue  may host other pop up vendors, music, or serve food.  It is  imperative that artists maintain a professional manner and                      cooperate with other artists, vendors, and venue to determine placement and ensure a successful event.

    b.    Assist other artists who may need help setting up/breaking down or otherwise.  Be a mentor to artists new to FFAW.

    c.    Promote DCAA to inspiring artists. Hand out or have available any promotional material             provided by the FFAW Committee members (FFAW QR Cards, ‘Join Us’ postcards, fliers)

    d.     Engage in casual conversation with the general public. Sales are optimal, but our goal is to introduce art to the community and engage in community art  events. FFAW artists have sold art, attained commissions, collaborated with other artists for future projects, and developed partnerships with venues for future sales.

7.    Marketing:
   a.    Media coverage in Cascade A&E Magazine, Redmond Spokesman, DCAA social media, numerous Central Oregon Facebook community pages, newsletter, and website.

            * Cascade A&E publishes the venue name/location, the artist name, artist  statement and web/social media link prior to the FFAW event.

            * Cascade A&E publishes a photo of each artist with their event display  in the following monthly magazine.

    b.    An image of your art, artist statement, and artist website/social media link is emailed to the assigned venue and artist for social media marketing efforts.
